You will be responsible for ensuring effective administrative management of the customer service function, from initial reception through to final delivery. You will be required to have a proactive approach to meeting customer expectations while aligning with overall business objectives. Youll be acting as a key liaison between the commercial team, customers and the accounting department. As a customer service representative, you will coordinate and facilitates the flow of transactions, responding promptly to the needs of all stakeholders.

 

Responsibilities

  • Receive and process customer orders via email or phone.
  • Respond to customer inquiries, providing accurate information on products and applications.
  • Verify the stock availability for incoming orders.
  • Enter orders into systems, including creating new items and updating quantity and price references.
  • Confirm all order details, such as delivery and invoice addresses, delivery dates and times.
  • Coordinate daily production and delivery schedules.
  • Acknowledge receipt of customer orders and provide timely updates.
  • Ensure proposed delivery deadlines are accurate by liaising with warehouse and dispatch teams.
  • Monitor delays or issues with order fulfilment and promptly inform customers.
  • Manage delivery notes and CMR documentation and communicate with carriers as needed.
  • Handle back orders and notify the Commercial department when necessary.
  • Process credit notes requests and follow up on claims.
  • Keep customer files updated with addresses, invoicing details, delivery information, payment terms, contacts, order history and special requests.
  • Create and maintain pricing files, discount terms and rebate agreements with approval from the Sales or Operations Manager.
  • Send technical documentation, safety data sheets, catalogues and charts to customers.
  • Create / update customer accounts and conditions as required.

 

Requirements

  • Previous experience in a customer service environment.
  • Familiar with Microsoft Office applications, including Word and Excel.
  • Strong organisational skills with a customer-focused approach.
  • Ability to work effectively under pressure and as part of a team.
