You will be responsible for ensuring effective administrative management of the customer service function, from initial reception through to final delivery. You will be required to have a proactive approach to meeting customer expectations while aligning with overall business objectives. You’ll be acting as a key liaison between the commercial team, customers and the accounting department. As a customer service representative, you will coordinate and facilitates the flow of transactions, responding promptly to the needs of all stakeholders.
Responsibilities
- Receive and process customer orders via email or phone.
- Respond to customer inquiries, providing accurate information on products and applications.
- Verify the stock availability for incoming orders.
- Enter orders into systems, including creating new items and updating quantity and price references.
- Confirm all order details, such as delivery and invoice addresses, delivery dates and times.
- Coordinate daily production and delivery schedules.
- Acknowledge receipt of customer orders and provide timely updates.
- Ensure proposed delivery deadlines are accurate by liaising with warehouse and dispatch teams.
- Monitor delays or issues with order fulfilment and promptly inform customers.
- Manage delivery notes and CMR documentation and communicate with carriers as needed.
- Handle back orders and notify the Commercial department when necessary.
- Process credit notes requests and follow up on claims.
- Keep customer files updated with addresses, invoicing details, delivery information, payment terms, contacts, order history and special requests.
- Create and maintain pricing files, discount terms and rebate agreements with approval from the Sales or Operations Manager.
- Send technical documentation, safety data sheets, catalogues and charts to customers.
- Create / update customer accounts and conditions as required.
Requirements
- Previous experience in a customer service environment.
- Familiar with Microsoft Office applications, including Word and Excel.
- Strong organisational skills with a customer-focused approach.
- Ability to work effectively under pressure and as part of a team.
