Shipping Administrator
You will be joining a highly regarded maritime services provider with operations across Irish ports, stepping into a role that places you at the centre of vessel activity in Dublin Port. You will become part of a business recognised for its reliability, operational precision and strong working relationships with international shipping lines, cruise operators, tanker fleets and bulk carriers. Backed by a wider group network, you will benefit from established systems, shared expertise and the support of experienced professionals across multiple regions.
In this role, you will have the opportunity to build a long-term career within port operations and shipping logistics. Working Monday to Friday, 9:00am to 5:00pm, you will take ownership of coordinating vessel movements before arrival, during port stay and through to departure. You will liaise with port authorities, service providers and vessel crews, ensuring every visit runs safely, efficiently and in full compliance with regulatory requirements. This is a fast-moving, international environment where no two days are the same. You will use your attention to detail, organisational skills and clear communication style to manage shifting priorities with confidence and professionalism.
Although the position is primarily office-based, you will occasionally attend Dublin Port or board vessels when operationally required, giving you valuable on-the-ground exposure to live port activity. Comprehensive training will be provided from the outset, with structured support over approximately six months to ensure you become fully confident and competent in this technically detailed and rewarding position.
During the peak summer cruise season, you will experience the energy of handling a high volume of cruise calls, with close to 100 vessels scheduled. You will also participate in an on-call rota, covering one evening per week and every fourth or fifth weekend. Most matters can be handled remotely, offering flexibility, although there may be occasions where port attendance is required. This structure allows you to increase your earning potential while gaining hands-on experience in a critical operational role within Ireland’s maritime sector.
Responsibilities
- Act as the central contact for vessels calling to Dublin Port and associated regional ports.
- Coordinate vessel arrivals and departures in line with port regulations and operational schedules.
- Liaise with harbour authorities, customs officials, immigration and relevant government departments to ensure full compliance.
- Arrange berth allocations, pilotage, towage and port services.
- Manage documentation through online maritime systems and internal operational platforms.
- Prepare cost estimates and monitor supplier charges against agreed services.
- Facilitate crew changes, ensuring visa, immigration and passport requirements are satisfied.
- Organise crew transport, accommodation and medical appointments where required.
- Coordinate third-party services including waste disposal, freshwater supply, provisions and technical support.
- Support cruise operations through logistics planning, passenger movement coordination and supplier management.
- Maintain accurate operational records, reports and compliance documentation.
- Deliver high standards of service to international shipowners, charterers and stakeholders.
- Contribute to continuous improvement initiatives and support implementation of updated systems or procedures.
Requirements
- Full EU driving licence.
- English to a native standard, written and spoken.
- Strong IT proficiency, including Microsoft Office and ability to learn specialist maritime systems.
- Ability to operate effectively within a 24/7 port environment.
- Willingness to participate in an on-call rota and attend port when required.
- Excellent organisational and multitasking skills.
- Confident communicator with a professional and client-focused approach.
- Composed under pressure with strong problem-solving capability.
- Commitment to learning a detailed, compliance-driven operational role.
Desirable
- Previous experience within shipping, port operations or logistics coordination.
- Experience as a Ships Agent or similar maritime-based role.
- Seagoing background or senior vessel experience.
