Production Coordinator

Long‑established and highly respected vehicle maintenance and repair company in Dublin 22 is expanding its operations team and is looking for a driven, detail‑focused Production Coordinator to help deliver an exceptional customer experience. This is a fantastic opportunity for someone who thrives in a fast‑paced environment, excels at customer service and enjoys turning complex repair requirements into clear, accurate quotations. Experience with automotive or commercial vehicle maintenance — whether cars, or trucks, will give you a real edge in this role.

As a key link between customers, inspectors and the workshop, you’ll play a pivotal role in keeping the entire production flow running smoothly. You’ll review inspectors’ estimates with a critical eye, ensuring they meet performance standards, identifying gaps and taking action where needed. You’ll be the person customers trust to walk them through quotations, make adjustments based on their preferences and secure full approval before work begins.

Collaboration will be central to your day. You’ll work closely with the administration team to ensure customer accounts are cleared and vehicles are ready to move into the workshop. You’ll coordinate the sourcing of parts from internal stores and external suppliers, keeping jobs on track and eliminating bottlenecks. Every quotation will follow a clear process, moving efficiently from estimation to the workshop foreman for scheduling.

You’ll also build strong working relationships with inspectors to ensure inspections are completed on time and estimates are prepared accurately. Your daily workflow will include issuing and chasing parts requisitions, maintaining oversight of all active jobs, tracking vehicles on site and supporting admin colleagues to ensure vehicles are returned to customers promptly, professionally and in top condition.

This role is ideal for someone who enjoys variety, takes pride in precision and wants to make a positive impact on the customer journey.

Responsibilities:

  • Review and validate inspectors’ estimates, taking action where standards are not met
  • Discuss and revise quotations with customers, ensuring approval is obtained before work starts
  • Liaise with the administration team to ensure accounts are up to date and vehicles are authorised for production
  • Source required parts from internal and external suppliers, arranging collection or delivery as needed
  • Ensure all quotations follow company procedures prior to submission for workshop scheduling
  • Work closely with inspectors to guarantee inspections are completed and estimates are finalised
  • Send, monitor and follow up on parts requisitions for all active jobs
  • Track daily work in progress and maintain oversight of all vehicles on the premises
  • Assist the administration team to ensure timely and quality return of vehicles to customers

Requirements:

  • Minimum 3 years’ experience in a customer‑facing position, with proven skills in pricing, estimating, assessing work requirements and preparing quotations
  • Level 7 (or higher) qualification in business, management, or a similar discipline
  • Strong team‑oriented attitude with the ability to collaborate effectively across departments
  • Excellent attention to detail and accuracy
  • Knowledge of HGV trailer ABS/EBS systems is beneficial
  • Confident using technology, systems, and software tools
  • Excellent communication skills and strong time‑management capability
  • Proactive and solution‑focused approach to challenges
